Booking Confirmation Texts and Emails That Cut Down Dumpster Callbacks
Count how many calls your office takes in a week that are some version of am I still on for Thursday? or where is my dumpster? Each one is short, but they add up, and every one of them is a call that could have been a text the customer got without asking.
Moving Booked Dumpster Orders From the Waiting List to the Dispatch Board covered scheduling orders. This guide covers telling customers about it.
Confirm Every Booking
When an order is booked, the customer should get a confirmation by text or email. In DumpsterBossPro, automated texts and emails handle this, so it happens on every order instead of only when someone remembers. A confirmation turns a phone conversation or an online approval into something the customer can look back at.
Keep the confirmation short: what size, which address, what day, and a reminder of how to reach you. Long confirmations get skimmed. Short ones get read.
Confirmations also catch mistakes. A customer who reads the wrong address or the wrong day in their confirmation will tell you right away. It is far cheaper to fix a typo the day of booking than to discover it when the driver is standing at the wrong house.
Send the On-the-Way Text
The most valuable text in the whole rental is the one that says the driver is on the way. It answers the where is my dumpster question before anyone asks it. Customers who are waiting at home can plan around it, and customers who are at work know the can will be there when they get home.
Repeat customers using the customer app can also watch the driver on a live map. That is one fewer call, and it makes your company feel more organized than one that answers the phone with let me check.
The on-the-way text also gives the customer a last chance to fix something. A reply saying move it to the left side, my car is on the right reaches the office while the truck is still rolling, and the driver can be told before backing in.
Remind Them of the Terms
A confirmation is a good place for a one-line reminder of the important terms: the included rental days and how to request pickup. Not the whole quote, just enough that the customer remembers there is an end date. It makes the extra days conversation at the end of the rental much easier.
If there are prohibited items, a short reminder like please no tires, mattresses or paint in the can, saves trouble at the landfill. Customers rarely mind a polite reminder.
A pickup reminder near the end of the included days works the same way. One text asking whether they are ready for pickup or want more time keeps the rental moving and gives the customer the choice, instead of letting days pile up quietly until the invoice.
Use Two-Way Texting for the Replies
Customers will reply to confirmations with questions: can it go on the other side of the driveway, can you come earlier, can I keep it an extra week. Two-way texting lets your office answer in the same thread, so the conversation stays attached to the customer and nobody has to call back.
Update the order when a reply changes something. A placement change in a text thread does not help the driver unless it ends up in the placement notes.
Let customers choose how they hear from you, too. Some want everything by text, some want email, and some only want to hear when the truck is close. The customer app has alert choices so customers can set what they get.
Do Not Overdo It
More messages are not always better. A booking confirmation, a reminder before delivery if it is far off, an on-the-way text and a pickup reminder near the end of the rental cover almost everything. Customers who get five texts a day start ignoring all of them, including the one that matters.
Watch for messages that do not answer a question anyone has. If customers never react to it, it is probably noise.
Match the message to the moment. A booking confirmation can carry a little detail. An on-the-way text should be one line. A pickup reminder should ask one question. Customers learn what each message from you means, and they start trusting that every text is worth reading.
Fewer Calls, Better Customers
Good confirmations do not just save your office time. They make customers trust you, because you told them what was going to happen before it happened. That trust is what brings them back for the next project and what they mention when a neighbor asks who they used.
