Sending Dumpster Estimates Customers Approve Online

A verbal yes on the phone is worth exactly as much as the customer's memory of the call. Two weeks later, when the invoice shows extra days, the yes has turned into I never agreed to that. An estimate the customer approves online is a different kind of yes. It has a date, a size, a price and the terms they clicked to accept.

After Spelling Out Rental Days and Weight on Every Dumpster Quote, the next step is getting that quote in front of the customer in a form they can approve with one tap.

How Online Approval Works

In DumpsterBossPro you build the quote, also called an estimate, from the lead: size, rental days, weight terms, price and any extras. The customer receives it by text or email, opens it on their phone and approves it online. You see that it has been approved, and the order is ready to schedule.

No printing, no scanning a signature, no waiting for a customer to call you back to say yes. The customer can approve at their kitchen table at 9 at night, and you will see it first thing in the morning.

The customer does not need an account, a password or an app to approve a quote. They open the link, read it and approve. Any step you add between the customer and the yes is a step where some of them will quit, so the simpler the approval, the more quotes become orders.

Why It Beats a Verbal Booking

Online approval does three things a verbal booking cannot. It gives the customer a written copy of exactly what they are getting. It gives you a record that they saw and accepted the terms. And it moves the decision to when the customer is ready, instead of forcing them to commit while you wait on the line.

That last one matters more than it sounds. Plenty of customers want to check with a spouse, a landlord or a project manager. A quote they can forward and approve later fits how people actually make decisions.

Make the Estimate Easy to Say Yes To

Lead with the size and price, then the terms in short lines, then the delivery date you discussed. Avoid long paragraphs. If there are optional items, like extra rental days paid up front, make them clearly separate so the customer is not confused about the base price.

Send it while the conversation is fresh. A quote that arrives during the call or within a few minutes is far more likely to be approved than one that shows up the next afternoon. Speed signals that you are organized, and that is what customers are really shopping for.

Handling Changes Before Approval

Customers often reply asking for a different size or a later date. Update the quote and send it again rather than agreeing in a text thread. The approved version should always match what you are going to deliver and bill. If the change happens over two-way texting, that is fine, but finish by sending the revised quote for approval.

Keep the old version in mind if the customer later asks why the price changed. A clear history of what was sent and what was approved saves a lot of back and forth.

The same applies to contractors who want to change the delivery site at the last minute. If they run several jobs, make sure the approved quote and the order point at the right job site. The wrong site on an approved quote means the can goes to the wrong address, with a signed-off record saying it was right.

What Happens After Approval

An approved quote becomes the order. Confirm the delivery date and placement details, and send the customer a confirmation by text or email. The order appears on the Waiting List on the live map so dispatch can see it alongside everything else that needs to go out.

Because the size, debris type and terms came from the quote, nobody retypes them for dispatch or billing. The driver sees the placement notes in the driver app, and the invoice bills the price and terms that were approved.

Approval Is Not the Same as Live Booking

To be clear, online approval is not a live calendar where the customer picks an open slot. Your office still decides when the can goes out. That is a good thing for most roll-off companies, because you know which trucks, which cans and which days are realistic in a way no calendar widget does.
