Moving Dumpster Pickups Off Whiteboards, Notepads and Group Texts
Every roll-off company starts the same way: a phone, a notepad and a whiteboard in the office. It works for a few trucks. Then the business grows, the owner is not in the office all day, and the whiteboard stops matching what is actually happening on the road.
Signs the Whiteboard Has Stopped Working
You know it is time when:
- Pickups get forgotten because the note was on the other notepad.
- Drivers text the owner to ask where to go next.
- Nobody can say which rentals are past their included days without a long search.
- Scale tickets turn up in the truck a week after the invoice went out.
- Customers call to ask when the truck is coming, and nobody knows.
The reports covered in Pickup and Swap Reports: Finding Out What Your Truck Runs Earn only work when the jobs are in a system in the first place. That is the real first step.
Bring In What You Already Have
You do not have to start from zero. DumpsterBossPro includes CSV import, so customer lists from a spreadsheet or another system can be brought in. That gets your regular contractors and repeat customers in place before the first pickup call.
Then enter the cans currently on the ground as rentals, with their delivery date, days included and daily rate. That is the most important step, because those cans are next week's pickups.
While you are at it, add the dumpster details for each can on the ground: size in yards, unit number and debris type. Add the haul-to address you would normally use for that debris, and any placement and access notes your drivers know by heart. This is the moment to get the knowledge out of people's heads and onto the jobs. It takes an afternoon, and it pays back on the first pickup a new driver runs without calling anyone.
Expect to find surprises. Almost every company that does this finds a can or two that has been out far longer than anyone realized.
Switch on a Quiet Day
Pick a slow day to make the change, not the Friday before a holiday weekend. Move the open pickups and swaps from the whiteboard onto the Waiting List, so they show on the live map. Put tomorrow's deliveries on the dispatch board. From then on, every new call goes straight into the software.
Run the whiteboard alongside for a day or two if it makes people comfortable, but set a firm date when it gets erased for good. Two systems for long means neither is trusted.
Get Drivers on the Driver App
Drivers are the key. Show them the driver app: jobs in order, site and haul-to address with one-tap navigation, dumpster details, placement and access notes, start and complete, photos, and one-tap on-the-way and arrival texts. Most drivers pick it up in one day because it replaces calls they did not like making anyway.
Start with the basics: tap on-the-way, tap start, take photos, tap complete. Scale weights and notes come next.
Expect one driver to resist. Usually it is the most experienced one, who has every site memorized and never needed a whiteboard. Ask that driver to help write the access notes for their regular sites. It turns their knowledge into something the whole company can use, and it gives them a reason to care about the system working.
Tell Customers What Changed
Customers notice the difference quickly. Many will mention it on the next call. They start getting on-the-way and arrival texts, they can see the truck on a live driver map in the customer app, they can pay online, and they can request a pickup or swap without calling. Let your regulars know so they use it.
For contractors, set up monthly billing on one invoice if that is how they prefer to pay, and put their multiple job sites in place with notes for each.
What Not to Worry About
You do not need to set up every feature on day one. Get pickups, swaps and deliveries flowing through the Waiting List and dispatch board first. Add rental tracking, scale weights, automated texts and online payments over the next few weeks.
Pricing is simple: plans start at $59/month, with Pro at $89 and Crew at $199, never billed per user, and a 14-day free trial with no credit card required. To see the full pickup and swap workflow, visit DumpsterBossPro dumpster pickup and swap scheduling software.
