Customers With Multiple Job Sites: Dispatching and Billing Each Address Correctly

The homeowner with one house is the easy customer. The hard ones are the property manager with eight buildings, the builder with a dozen lots, and the restoration company that is somewhere new every week. Get their sites mixed up and you set a can at the wrong building or bill the wrong job.

Contractor Accounts Billed Monthly on One Invoice covered contractor accounts. This guide covers the addresses those accounts use.

One Customer, Many Sites

In DumpsterBossPro, a customer can have multiple job sites. The customer holds the billing details: name, contacts, billing address, card on file. Each job site has its own address. When a request comes in, the office picks the right site from the customer's list instead of typing an address from scratch.

That eliminates a common mistake. When the office types a new address for every request, small differences creep in, and the same site ends up recorded three different ways. Picking from a list keeps it clean.

It also keeps the history together. A year from now, when that property manager asks how many cans went to the building on Oak, you can find every job at that site under that customer instead of searching by addresses that were typed three different ways.

Site-Specific Notes

Each site has its own placement and access needs. The can goes behind the building at one property and next to the loading dock at another. One site has a gate code; another needs a call to the superintendent. Put the site-specific instructions on each job so the driver sees them in the app.

When a driver learns something new at a site, like a better approach or a new gate code, add it to the notes so the next job at that site benefits.

Contacts change by site, too. The superintendent at one job is not the superintendent at another. Put the on-site contact for each job in the notes so the driver calls the right person when the gate is locked.

Requests for the Right Site

When a contractor calls for a swap, the first question is which site. With multiple job sites listed under the customer, the office can confirm quickly. When the customer uses the customer app to request a service, the request lands on the Waiting List at the right location on the map.

The map helps here too. A request pinned at the wrong site sticks out when you can see it on the map relative to the customer's other sites.

When a multi-site customer requests service, confirm the site in writing, especially if they have two sites close together. A swap at the wrong building wastes a trip and leaves a crew with a full can at the right one.

Billing by Site

Customers with many sites often need billing broken out by site. Property managers allocate costs to buildings. Contractors bill disposal back to their clients. Each job is tied to its site, so invoices show which site each rental was for.

For contractor and commercial accounts billed monthly on one invoice, the monthly bill lists every rental with its site. The customer gets one invoice that still shows where each can went.

Separate sites also help when you need to explain a charge. If a property manager questions an overage, you can point to the exact site, the exact rental and the exact scale ticket, instead of a lump sum for the month.

Relocates Between Sites

Sometimes a customer wants a can moved from one site to another. A Relocate job handles that. The job records the move so the history is clear, and any relocate charge goes on the invoice.

Keep the details straight: which site the can left, which site it went to, and the dates. That keeps the rental days and the billing accurate across both sites.

Rental days need a clear rule for relocates, too. Decide whether moving a can continues the existing rental or starts a new one, and apply it consistently. The customer should know before the move, not after the invoice.

Keeping Sites Organized

Review your multi-site customers occasionally. Remove sites that are finished, add new ones as they come up, and keep the notes current. A clean site list makes every request faster and every invoice more accurate.

It is worth asking your biggest multi-site customers once in a while what would make working with you easier. Often it is something small, like a site name that matches what they call it internally, and it costs you nothing.
