Taking Swap-Out and Pickup Orders on an Existing Dumpster Rental
A lot of booking work is not new customers at all. It is the customer who already has a can and calls to say it is full, or that they are done. These calls are short and easy to underestimate, which is exactly why they go wrong: the swap goes to the wrong site, the pickup sits for three days, or the full can comes back with no weight recorded.
Picking up from Contractor Dumpster Orders: Accounts With Multiple Job Sites Billed Monthly, this guide covers the orders that happen in the middle and at the end of a rental.
A Swap Is a New Service on an Existing Rental
A swap-out means hauling the full can and leaving an empty one in its place. From a booking standpoint, it is a new service attached to an existing rental. Get the same essentials you would for a new delivery: which site, which can, what size the replacement should be, and when they need it.
Ask whether the size should change. A customer who overfilled a 20 might want a 30 for the second round. A customer whose second load is all concrete should probably go smaller. The swap is a fresh chance to get the size right.
Confirm the debris for the second load too. Projects change as they go. The first can on a remodel might be cabinets and drywall, while the second is tile and plaster. A different debris type changes the weight risk, and it belongs on the job.
Know Exactly Which Can Is Being Hauled
For contractors with several cans out, which can is full is not always obvious. Each job carries its dumpster details, including the size and unit number, so the office can confirm the right can at the right site before sending a truck. Ask the customer to confirm the site; do not assume.
When the driver arrives, the unit number on the can should match the one on the job. If it does not, the driver calls in before hauling it. That one check prevents the most embarrassing mistake in this business: hauling a can the customer was still filling.
Pickup Requests Stop the Clock
When a customer says they are done, the request should be recorded right away with the date. Rental days included and the daily rate after are tracked on the job, and extra days are invoiced automatically. If the request sits unrecorded, the customer may end up billed for days you were slow to pick up, which is a fight you will lose.
Repeat customers can request a pickup or a swap from the customer app, which puts a dated request on the Waiting List with no phone call needed. For everyone else, enter the request on the job while you are on the phone or in the text thread.
Tell the customer when to expect the pickup. A short text saying the can is on the schedule for Thursday keeps them from calling Wednesday to ask whether you forgot.
Get the Scale Ticket Onto the Job
Every haul of a full can comes back with a weight. The scale-ticket weight is entered on the job, and overage is billed per ton at your rate. On a swap, that means the first load's weight is recorded before the second load starts, so each haul is billed on its own terms.
Make entering the ticket part of finishing the haul, not something that waits for the end of the week. Tickets that sit in a truck door pocket are tickets that get lost, and lost tickets are overage you never bill.
Check Before Asking the Driver to Haul
Before a swap or pickup goes on the board, ask whether the can is ready. Is anything piled above the rails? Is a car parked in front of it? Is the gate locked? A quick text the day before saves the driver a trip to a can that cannot be hauled yet.
Drivers can take photos at pickup in the driver app. If a can is overfilled or blocked, the photo shows why it was not hauled or why there is an extra charge.
Small Orders, Big Impact
Swaps and pickups are where customers judge whether you are easy to work with. A fast, accurate pickup is the last impression of the rental. A slow or wrong one is what they remember. Treat these short calls with the same care as the first booking.
